Why your trial balance doesn’t match after a QuickBooks import — and how to fix it

You finished the import, ran the trial balance, and it’s off. Before you re-do the whole migration, know this: an out-of-balance import almost always traces to one of five causes. Work through them in this order and you’ll usually find the gap in minutes.

1. Opening balances dated wrong

The single most common cause. If your opening-balance journal is dated inside your reporting period instead of the day before go-live, balances land in the wrong period and the comparison breaks. Check the date on the opening journal first.

2. AR or AP loaded as a lump sum

If accounts receivable and payable were brought in as single balances rather than itemised open invoices and bills, the totals can be right while the sub-ledgers are wrong — and any rounding on individual documents shifts the total. Load open items itemised, not lumped.

3. Sales tax posted to the wrong account

Sales-tax lines that map to the wrong liability account (or get folded into income) throw the balance sheet out by exactly the tax total. If your gap looks suspiciously like a tax figure, this is almost certainly it.

4. Rounding and currency drift

Multi-currency files, or exports carrying more decimal places than QuickBooks stores, accumulate small differences across thousands of rows. A gap of a few cents to a few dollars is usually rounding; isolate it by comparing account totals rather than hunting individual lines.

5. Duplicate or skipped rows

A duplicated customer or vendor name splits one balance across two records; a transaction the import silently skipped leaves a hole. Both show up as a whole-transaction-sized gap. Compare record counts between source and destination to catch these.

How to isolate the gap fast

  1. Compare the source and destination trial balances account by account, not line by line. The mismatch is almost always concentrated in one or two accounts.
  2. Match the size of the gap to a category — a tax-sized gap points to cause 3, a round-number gap to a skipped transaction, a few cents to rounding.
  3. Fix at the source of the error, then re-run the trial balance. Don’t patch with a plug journal — that hides the real problem.
Prevention beats debugging: reconcile the opening position before you commit the import, not after. A review step that shows exactly what will and won’t be written turns most of these five into a five-minute fix instead of a re-do.
