Converting Zoho Books to QuickBooks: a step-by-step checklist

Moving from Zoho Books to QuickBooks is a well-worn path, and it goes smoothly when you treat it as a data-preparation job rather than a copy-paste. Here’s the checklist we use, start to finish.

Before you export

  • Pick a cutover date on a reconciled period end.
  • Decide your destination — Desktop or Online (our comparison guide helps here).
  • Run and save a Zoho trial balance, AR aging and AP aging as of the cutover date. These are your source of truth.

Export from Zoho Books

  1. Chart of accounts.
  2. Customers and vendors, with contact details and opening balances.
  3. Items and price lists.
  4. Open invoices and open bills (the unpaid ones as of cutover).
  5. Any historical transactions you’ve decided to bring across.

Map the data to QuickBooks

This is where conversions succeed or fail. Zoho’s field names and account structure don’t match QuickBooks one-to-one, so each column has to map to the right QuickBooks field, and each account to the correct type. Watch particularly for:

  • Account types — a mis-typed account (income vs other income, for example) quietly distorts reports.
  • Tax settings — map tax lines to the correct liability accounts, not income.
  • Customer and vendor names — de-duplicate before import so balances don’t split.

Bring in opening balances

Post the trial balance (excluding AR and AP) as a single journal dated the day before go-live, then load AR and AP as itemised open invoices and bills. This keeps aging reports accurate and lets the client take and apply payments correctly.

Reconcile, then go live

Compare the QuickBooks trial balance to the Zoho one account by account. It should tie to the penny. If it doesn’t, work through the five common causes before you start posting new transactions.

Doing this for several clients? Save the mapping once and reuse it. Batch conversion means you set the source and target once and run whole folders of client datasets in a single pass, instead of repeating the mapping every time.
