Why immutable payroll evidence matters
Payroll is one of the most audited functions in any business — by tax authorities, by auditors, by your own year-end. And the question they all ask is the same: “show me exactly how this number was produced.” A payroll system that can’t answer that, because it overwrote the past, is a liability. Immutable evidence is how a system answers it every time.
The problem with mutable payroll
In many systems, when you fix a payroll error you edit the record — the old value is simply gone, replaced. That feels tidy, but it destroys the audit trail: months later you can see the corrected number but not what it was, why it changed, or which rules originally applied. When someone asks you to reconstruct a payroll from last year, you can’t — the evidence was overwritten.
What immutable evidence means
The alternative is to make each calculation’s evidence immutable. Every result retains the exact facts that produced it: the inputs, the tax package and rule versions, the YTD figures used, the reciprocity and credit decisions, the rounding, even the intermediate steps. Nothing is overwritten. If you need to know how a paycheck was calculated in a prior period, the system can replay it precisely.
Corrections by succession, not overwriting
So how do you fix an error without editing history? Through successor records. A correction creates a new, controlled attempt that supersedes the old one — but the original remains, marked as superseded, with its evidence intact. You get the corrected result and a complete trail of what changed and why. That’s the difference between “we fixed it” and “we can prove exactly what we did.”
Why it pays off
- Audit: every figure traces to its inputs and rules — no scrambling to reconstruct.
- Support: when an employee questions a paycheck, you can show precisely how it was produced.
- Reconciliation: immutable results make tying payroll to the general ledger clean and repeatable.
